Cancellation & Refund Policy

The Nacirema Project Tours

We understand that travel plans can change. Our Cancellation & Refund Policy is designed to be fair, transparent, and aligned with our on-ground partners while protecting the integrity of group travel arrangements.

By booking a tour with The Nacirema Project Tours, you acknowledge and agree to the terms outlined below.

1. Deposits

• A deposit is required to reserve your space on the tour and secure hotel accommodations, transportation, and services.
• Deposits are applied toward your total tour cost.
• Deposits are partially refundable, subject to the timeline below.

Administrative Fee:
All cancellations are subject to a $150 per-person administrative fee, which covers non-recoverable planning and processing costs.

2. Cancellation Timeline & Refund Amounts

Refunds are calculated per traveler, not per group.

3. Installments & Final Payments

• Installment payments follow the same cancellation timeline as deposits.
• All payments made after the applicable refund window are non-refundable.
• Final balances are due 60 days prior to departure and are non-refundable once paid.

 

4. Name Changes & Substitutions

• Traveler name substitutions are permitted if a traveler can no longer attend.
• Substitutions must be submitted in writing and approved at least 20 days prior to departure.
• Airline tickets (if booked separately) and visa fees are not transferable.

5. No-Show Policy

• Travelers who fail to arrive, miss departure, or voluntarily leave the tour early are considered no-shows.
• No refunds or credits will be issued for no-shows or unused services.

6. Force Majeure (Uncontrollable Events)

No refunds are guaranteed in cases including, but not limited to:
• Natural disasters
• Government travel restrictions
• Acts of war or civil unrest
• Public health emergencies
• Airline cancellations or delays
• Border closures or visa denials

In such cases, we will make reasonable efforts to:
• Offer credits toward a future tour (subject to supplier approval)
• Reschedule departures where possible
• Advocate on the traveler’s behalf with suppliers

7. Travel Insurance (Strongly Recommended)

We strongly recommend that all travelers purchase comprehensive travel insurance, including:
• Trip cancellation & interruption
• Medical & emergency evacuation
• Coverage for unforeseen circumstances

Insurance is the only protection against losses outside our refund windows.

8. Refund Processing

• Approved refunds are processed within 30–45 business days
• Refunds are issued to the original form of payment
• Credit card processing fees (if applicable) are non-refundable

9. Agreement & Acknowledgment

By submitting payment, you confirm that you:
• Have read and understood this Cancellation & Refund Policy
• Agree to all stated terms
• Accept the financial responsibilities associated with group travel
